For Program Leadership
Prior to updating any graduating resident/fellow status on the roster, please personally verify with each resident/fellow that ALL of their procedures have been entered in the ACGME Case Log System, as the program updating their status in ADS will trigger their account’s archival once their specialty’s archival date passes. Once a resident/fellow is archived, they will still have access to their account to view/download a selection of archived reports, but will no longer be able to add/edit cases. We recommend saving a PDF copy of any active reports and the bulk Excel download of all case data as they may be required for future credentialing and employment applications.
If your residents/fellows would prefer that their personal email addresses be attached to their accounts, please make this change for them via the program’s Resident/Fellow Rosters in ADS before they graduate. The preferred email should be set as the primary email, rather than the secondary.
For Graduating Residents/Fellows
As part of each program's year-end archival process for graduates, the ability to add/edit case logs for on-cycle graduates will be removed after their status is updated in ADS and their specialty’s archival date passes. It is imperative that all cases are entered in the ACGME Case Log System before this date to ensure complete and accurate records. Your archived case log account will remain accessible for read-only access to your archived Case Log reports and data. We recommend saving a PDF copy of any active reports and the bulk Excel download of your case data as they may be required for future credentialing and employment applications.
Important: Before graduating, update your multi-factor authentication method to SMS/Text Message if it is not already set as your preferred method. This update is essential to ensure you can easily continue to access your ACGME account even after your institutional email access expires, as using the SMS/Text option will allow you to authenticate your login.
Or as an alternative, if you would prefer that your personal email address be attached to your ACGME account, please ask your program leadership team to make this change via their program’s ADS account Resident/Fellow Rosters in ADS before you graduate.
